Policies & Expectations
I want every family to feel comfortable and informed from the very beginning. Below you'll find everything you need to know about how sessions, scheduling, payments, and communication work at The Discovery Reading Club. If you ever have a question that isn't answered here, just reach out — I'm always happy to talk things through.
Scheduling & Attendance
Sessions are scheduled in advance and held at consistent, recurring times whenever possible. Consistency matters for reading progress, so I encourage families to commit to the same day and time each week.
If you need to reschedule, please give me at least 24 hours' notice. I completely understand that life with kids is unpredictable — I'm a mom too. As long as I have enough notice, I'm happy to find another time that works.
Cancellation & No-Show Policy
I ask for a minimum of 24 hours' notice for cancellations or reschedules. This allows me to offer the spot to another student and to plan my schedule and materials accordingly.
Late cancellations (less than 24 hours' notice) and no-shows will be charged the full session rate. I know that sounds firm, but here's why: I prepare specifically for each session — choosing books, planning activities, and reviewing your child's progress. That preparation happens whether or not your child walks through the door. The 24-hour window gives us both flexibility while respecting everyone's time.
If there's a true emergency or illness, please just let me know. I'm a real person, and I'll always handle those situations with grace.
CANDACE NOTE: You may want to soften or adjust this based on how firm you want to be. Some tutors offer one 'freebie' late cancel per semester. Totally up to you — this is easy to update later.
Payment
Payment is due at the time of each session unless other arrangements have been made. I currently accept Venmo and cash. Payment details and your session rate are confirmed before we begin working together.
I offer two payment options to fit your family's needs:
Per-session billing — You pay for each session individually at the time of your child's appointment.
Series packages — You can purchase the entire series (8 weeks in the summer, 6 weeks during the school year), paid at the beginning of the month. Package details and pricing are discussed during the intro call and outlined in your tutoring agreement.
Session Details
One-on-one tutoring sessions are 50 minutes. Small group book club sessions are also 50 minutes. Assessment sessions may be longer (up to 90 minutes) depending on your child's needs — I'll let you know what to expect when we schedule.
All sessions take place in my dedicated tutoring space in my home in Valley West, Bozeman. Please arrive on time so your child gets the full benefit of their session. If you arrive late, the session will still end at the scheduled time.
I provide all books, materials, and activities for each session. You don't need to bring anything unless I specifically ask.
Communication & Progress Updates
I believe in keeping parents in the loop. After each session, I'll share brief notes on what we worked on, what went well, and what we're building toward. You can access these through your parent portal.
For bigger-picture updates, I'm happy to schedule periodic check-in conversations — monthly or as needed — to talk about your child's progress, adjust goals, or answer questions.
If you'd like me to coordinate with your child's teacher or school, I'm happy to do that too. Just let me know and we'll discuss what that looks like.

Privacy & Confidentiality
Your child's information is kept strictly confidential. I will never share assessment results, session notes, progress reports, or any personal information with anyone outside your family without your written permission.
If you'd like me to communicate with your child's school, teacher, or another professional (such as a psychologist or speech-language pathologist), I'll ask for your written consent first. You're always in control of who has access to your child's information.
Any records I keep — intake forms, assessment notes, session logs — are stored securely and used solely to support your child's reading progress.
Illness Policy
If your child is sick, please keep them home and let me know as soon as possible. I won't charge for illness-related cancellations as long as you notify me before the session. I'll do the same — if I'm not feeling well, I'll let you know and we'll reschedule.
If your child is generally feeling okay but has mild sniffles, use your best judgment. I trust parents to make that call. If your child has a fever, vomiting, or anything contagious, please reschedule.
Tutoring Agreement
Before we begin working together, I'll ask you to sign a brief tutoring agreement that outlines the details of our arrangement — including session schedule, rate, payment terms, and these policies. This protects both of us and makes sure we're on the same page from day one.
