Policies & Expectations

I want every family to feel comfortable and informed from the very beginning. Below you will find everything you need to know about how sessions, scheduling, payments, and communication work at The Discovery Reading Club. If you ever have a question that is not answered here, just reach out. I am always happy to talk things through.

Scheduling & Attendance

Tutoring sessions are scheduled in advance and held at consistent, recurring times whenever possible. Consistency matters for reading progress, so I encourage families to commit to the same day and time each week.

Parent coaching check-ins are scheduled weekly at a time that works for both of us, by phone or email, whichever you prefer.

If you need to reschedule a tutoring session, please give me at least 24 hours notice. I completely understand that life with kids is unpredictable. I am a mom too. As long as I have enough notice, I am happy to find another time that works.


Cancellation & No-Show Policy

I ask for a minimum of 24 hours notice for cancellations or reschedules. This allows me to offer the spot to another student and to plan my schedule and materials accordingly.

Late cancellations (less than 24 hours notice) and no-shows will be charged the full session rate. I prepare specifically for each session, choosing books, planning activities, and reviewing your child's progress. That preparation happens whether or not your child walks through the door. The 24-hour window gives us both flexibility while respecting everyone's time.

If there is a true emergency or illness, please just let me know. I will always handle those situations with grace..

Payment

Payment is due at the time of each session unless other arrangements have been made. I currently accept Venmo and cash. Payment details and your session rate are confirmed before we begin working together.

Tutoring: $85 per session, paid at the time of each appointment.

Parent Coaching: $199 per month, paid at the beginning of each monthly cycle. Your initial Reading Assessment ($150) is paid separately.

Reading Assessment: $150, paid at the time of the session.

Session Details

One-on-one tutoring sessions are 50 minutes. Assessment sessions are up to 90 minutes. I will let you know what to expect when we schedule.

All in-person sessions take place in my dedicated tutoring space in my home in Valley West, Bozeman. Please arrive on time so your child gets the full benefit of their session. If you arrive late, the session will still end at the scheduled time.

I provide all books, materials, and activities for each session. You do not need to bring anything unless I specifically ask.

For parent coaching families, all activities and materials are provided through your parent portal. I will let you know if any additional materials are needed for your child's plan.

Communication & Progress Updates

I believe in keeping parents in the loop. For tutoring families, I share brief notes after each session on what we worked on, what went well, and what we are building toward. You can access these through your parent portal.

For coaching families, your weekly check-in is your regular touchpoint, and you can message me anytime through the portal with questions about activities or how things are going.

For bigger-picture updates, I am happy to schedule periodic check-in conversations to talk about your child's progress, adjust goals, or answer questions.

If you would like me to coordinate with your child's teacher or school, I am happy to do that too. Just let me know and we will discuss what that looks like.

Privacy & Confidentiality

Your child's information is kept strictly confidential. I will never share assessment results, session notes, progress reports, or any personal information with anyone outside your family without your written permission.

If you'd like me to communicate with your child's school, teacher, or another professional (such as a psychologist or speech-language pathologist), I'll ask for your written consent first. You're always in control of who has access to your child's information.

Any records I keep — intake forms, assessment notes, session logs — are stored securely and used solely to support your child's reading progress.

Illness Policy

If your child is sick, please keep them home and let me know as soon as possible. I won't charge for illness-related cancellations as long as you notify me before the session. I'll do the same — if I'm not feeling well, I'll let you know and we'll reschedule.

If your child is generally feeling okay but has mild sniffles, use your best judgment. I trust parents to make that call. If your child has a fever, vomiting, or anything contagious, please reschedule.

Parent Coaching: Monthly Cycle

Parent coaching runs in monthly cycles. At the beginning of each cycle, I build (or update) your child's activity plan based on their most recent progress check-in. You receive the plan through your portal and we set up your weekly check-in schedule.

You can cancel your coaching subscription at any time. If you cancel mid-cycle, you will retain access to your current month's plan and portal through the end of that cycle.

Tutoring Agreement

Before we begin working together, I will ask you to sign a brief agreement that outlines the details of our arrangement, including session schedule, rate, payment terms, and these policies. This protects both of us and makes sure we are on the same page from day one.
